Biopharma leader Sanofi S.A. uses thousands of SaaS apps, among them Microsoft 365, Zoom, SharePoint, Salesforce, ServiceNow, DigiCert, SAP Concur, and a whole host of productivity and customer relationship management (CRM) tools. With its broad global footprint across 182 countries and a user population of more than 160,000, the organization was interested in understanding and optimizing its software spend by leveraging data on SaaS app usage in an innovative way. 

While the Sanofi IT team had aggregated data from identity management systems and other solutions, they needed a way to connect the dots across this data and turn it to actions, such as revoking underutilized licenses or phasing out EOL software. To achieve this goal, Sanofi deployed Zscaler Business Insights, a simple, streamlined solution for collecting, correlating, and analyzing app usage data from multiple cloud and security sources.

A 360-degree view into apps and granular utilization metrics aid decision-making

Business Insights provides the Software Asset Management team with an easier and faster way to gain insights into SaaS apps. The Zscaler Zero Trust Exchange platform was already deployed across Sanofi’s entire environment, delivering continuous real-time data feeds from Zscaler Internet Access logs to Business Insights about who uses which SaaS apps and how frequently. Connectors to identity providers, top SaaS apps, and other tools provide a unified data set that enable complete view into Sanofi’s extensive SaaS landscape through a single-pane-of-glass visual dashboard. Sanofi now has an accurate inventory of its SaaS apps, with granular details such as plans and licenses purchased, active users, frequently used apps, and usage by department.

“It helps make ZIA data and data from all our systems more accessible. We are actually able to make use of it, whereas, in the past, we had to pass this data through multiple systems in order to get to a similar result,” said Mishriki.

Business Insights provides a single source of truth with accurate, up-to-date data and the ability to monitor user activity, license allocation, and shadow IT. Stakeholders can easily determine how many licenses of a given SaaS app are actually being used and renew only the required number.

Current and emerging use cases

He and his team have identified new use cases that go beyond SaaS usage and costs. Business Insights provides a view into unsanctioned shadow IT app usage by department and user. This capability ties directly into risk management efforts. 

Another unexpected use case for Business Insights is monitoring GenAI apps, which are known to be vulnerable to data loss due to users inadvertently oversharing and uploading sensitive documents to these apps. Business Insights helps Sanofi monitor GenAI app usage to ensure responsible use and compliance with stringent global healthcare and data privacy regulations.

Empowering teams to make faster, more informed decisions

To date, Business Insights has discovered 15,108 SaaS apps in use across the organization—something the License Patrol Team had no way of knowing previously. 

“Within days, Business Insights enables us to make decisions on apps we can quickly deprecate due to lack of usage,” noted Mishriki. Mishriki also looks forward to future advancements to Business Insights that will allow it to deliver similar metrics on app usage for internally developed private apps.
